Create and Delete Above Units and Above Units Types

Above Units usually represent the largest or widest-ranging entities in your organization, such as an area, department, or the people representing a unit, for example.

Types of Above Units

Before adding Above Units, define the Above Unit Types in your organization. For example, an Above Unit Type could be State or Country. After you create an Above Unit Type, you can add Above Units that belong to that type, such as California for the State type or Canada for the Country type.

Note: 
When you create an Above Unit Type, UKG Learning automatically creates two associated jobs: Head of and Assistant Head of (for example, Head of State and Assistant Head of State). These jobs cannot be deleted, but you can configure their permissions. For more information on how to define the permissions per job please read the Set Permissions for Jobs article.

For each Above Unit Type, you can define any Decentralized permissions you want to give. See the Grant Decentralized Category Permissions article. 

For each Above Unit Type, you can define the default view of the Choose Unit filter drop-down on all pages with employees' listings, to make it easier and faster for your managers to see relevant results. The available options are:

  • Choose Unit
  • Only staff at above unit
  • Only staff at units

Note: 
If you select Only staff at above unit, Heads of and Assistant Heads of see users who are directly associated with that Above Unit first. For example, the Head of State for California initially sees users directly associated with California.

If you select Only staff at units, Heads of and Assistant Heads of see users who are indirectly associated with that Above Unit through its Units. For example, the Head of State for California sees users who work in Units such as Los Angeles, San Diego, and San Francisco.

Create Above Units

Under this tab, you can add new Above Units for your Academy and relate any Above Units with parent organizational relationships. 

  1. Select the desired Above Unit Type from the drop-down list.
  2. Enter the Above Unit name.
  3. Select Add.

The Above Unit is added immediately.

After you create Above Units, you can set up parent relationships between them. Open the drop-down next to an Above Unit and select the Above Unit to set as its parent.

When an Above Unit is set as a parent to another Above Unit, it means that its Head Of's permissions will cascade to the Above Unit below. So if Above Unit A is a parent to Above Unit B, then the Head of Above Unit A will have permissions on both Above Units. 

Delete an Above Unit

When you attempt to manually delete an Above Unit, a confirmation message explains the impact of the action.

If you confirm the deletion:

  • The system begins processing updates across all related data.
  • The Above Unit is removed from all associated users.
  • The Above Unit is removed from any rules where it is currently applied.
  • The Above Unit and related actions are temporarily unavailable during the process.

Note: The deletion process may take several minutes, depending on the amount of data involved. While the deletion is in progress, you cannot interact with the affected Above Unit. After the process is complete, refresh the page to ensure all changes have been applied.
