Some frequently asked questions and some tips and tricks to help you better understand the Report Builder.
Q1: When creating a scheduled report for others, I cannot find some managers to add as recipients.
A1: The recipients' list is populated with users that match either of the following criteria:
- Academy Admins or Training Managers
- Reporting permissions and, based on their org-structure, can see information related to the (Above) Unit that the report is for.
Note: If you attempt to schedule a report with no specific org structure selected, only Admins and Training Managers will be populated as possible recipients.
Q2: I tried to download a report an Admin created and I received a blank report.
A2: Managers can download every public report, but they cannot see the data from
other Above Units or Units not connected to their Above Unit.
Example:
- The Academy Admin created a Courses report for the course Customer Service and all Above Units and Units.
- The Head of Above Unit A has reporting permissions.
- The Head of Above Unit A tries to download the Courses Report that the Admin created.
- There are no users under Above Unit A enrolled in the Customer Service course.
- The report is blank.
Q3: Why can I not save my report as a public one?
A3: If you have selected a specific organizational structure for your report, you cannot save it as a public one. Reports for a specific (Above) Unit can only be private.
Q4: When I receive a report via an email and select the download button, the report is not immediately downloaded and I am redirected to the login page.
A4: You must log in to the Learning solution to download any reports created with Report Builder.
Q5: Is there a report that will show me all the available reports and fields?
A5: On the main Report Builder page (UKG Learning > Team Workspace > Reporting > Report Builder):
- Select the Create New Report button.
- Select the Download the Reports' Index button. This report includes all the available reports in Report Builder, some information about them, and their fields.
Q6: What causes some reports to only be sent via email?
A6:
- Selecting more than one item from the Report Options
- Selecting only one item from the Report Options but the organizational criteria selected results in more than 5000 members included
- Selecting certain reports such as the Users Steps Course Report or Leaderboards Ranking Report
Q7: What field option shows me all the above units of any type that are either directly or indirectly associated with the users?
A7:
- “Direct associations” for an above unit type show the above units of this type which are directly connected to the user.
- “Indirect associations” for an above unit type show the above units of this type to which the units of the user are connected.
Q8: I have added all Units and Above Units in my Report, but some Above Units don't populate.
A8: Add the fields Above Unit Types and Above Units to the Report.
Q9: Can I export a report for failed previous exam attempts after the user got reassigned?
A9: When a user is Obliged to Retake (reassigned) a course, only attempts with a course completion are saved. You can see those attempts in the Past Completions section in the Dashboard and Reports.
If the user has not completed the course, previous exam attempts are deleted upon reassignment, so failed attempts that were mandatory to complete the course cannot be exported in that case.
