The Learning solution allows you to create automated registration rules for groups based on specific organizational criteria. Once you create an automated registration rule all users that match the set criteria are automatically registered to the group.
Admins and users with the Create Group permission can create automated registration rules by accessing the Group Administration panel.
Navigation: UKG Learning > Social Workspace > Groups > All Groups
- Locate the Group in the list. Use the search bar if needed. Select the View button for that group.
- Select the Edit Group button on the banner.
- Select Add members from the Group Panel. Add members individually by selecting the + icon next to their name. You can also register a group of members based on their job and location and create a registration rule to register future hires automatically.
- Select By criteria.
- Select the specific Job(s) to which this registration is associated. Then, select the desired Above Units and Units in their respective columns. Filter using the drop-down menus if needed. For non-administrator accounts, these options are based on the organization components they have access to.
- Register this group of members only, or create a rule to automatically register all members meeting these criteria in the future.

To create a rule, select the Automated Registration Rule checkbox and enter an Assignment Profile Name. If no name is entered, the name defaults to the date the rule is created.

Select the Exclude existing academy members checkbox to only apply this rule to future members. Once checked, you can also define from what date to exclude members. All users who join the Academy after that date will be considered new hires for this rule. The default date is today's date.

The Unregister when criteria are not met anymore checkbox automatically unregisters members once they no longer meet the Job, (Above) Unit(s), or Custom fields criteria.
Important:
The un-registration will occur only for members added to a group by an automated registration rule. Manually registered members are unregistered, even if they do not meet the automated rule criteria.

When finished, select:
- Register Users - This button is available if you are only registering users and not creating an Automated Registration Rule.
- Register Users and Set Rule - Available if you are creating an Automate Registration Rule. It performs two steps. Registering the group of members you selected and creating the rule to register all future members who meet the criteria.
