Academy Administrators, Training Managers, and Managers with Complete Training or Bulk Complete Training permission(s) can mark courses, learning paths, and lectures as completed if needed.
Courses and Learning Paths
Navigation: UKG Learning > Team Workspace > Self-Paced Training > Mark as Complete
- Select either the Courses or Learning paths tab. The process is the same for both types of training.
- Select the course or learning path by title.
By Person
- Select the By person tab if not already selected.
- Select the + sign for an individual to move them to the Selected Users column. You can select multiple people.
- For learning paths, select the radio button to mark only the learning path as completed or both the learning path and its courses.
- For learning paths, select the radio button to mark only the learning path as completed or both the learning path and its courses.
- (Optional) Select the checkbox to force send a notification to the selected learners.
- Select the Mark as Completed button.
By Criteria
- Select the By criteria tab.
- Select a Job, Above Unit(s) and Unit(s) for the learners to include. The total number of learners appears beside each selection.
- For learning paths, select the radio button to mark only the learning path as completed or both the learning path and its courses.
- For learning paths, select the radio button to mark only the learning path as completed or both the learning path and its courses.
- (Optional) Select the checkbox to force send a notification to the selected learners.
- Select the Mark As Completed button.
By Template
Administrators and Training Managers with the Complete Training permission can use a template to mark training as completed for learners.
Notes:
- The template can be used only for current records and completions, not for any past completions.
- If a completion date is not added, the completion date is set to the day that the template is uploaded.
- When using the template, its format should not be changed. No rows or columns should be added or deleted. If the template's format is changed the upload will fail.
- Administrators cannot mark themselves as completed via a mass completion template.
- If you mark a course as completed for a learner using this functionality, the lectures within the selected course are not automatically marked as completed.
- The same applies to learning paths and the courses within the learning paths.

- Select the tab for Courses or Learning Paths.
- Select the Download Template icon. An Excel spreadsheet downloads.
- To mark a course as Completed by Admin' the following fields are required:
- At least one of the following unique identifiers:
- User ID
- User External ID
- Employee Number
- A Course or Learning Path ID for each Course or Learning Path you need to assign. You can find this by populating a Course or Learning Path Report on the Report Builder, or by checking the training's URL.
- Ensure the Mark As Completed field includes the "Y" value.
- For Learning Paths, fill the Mark Courses As Completed column with an "N" if you only want to mark the learning path as Completed, or a "Y" if you want both the learning path and its courses marked as Completed.
- At least one of the following unique identifiers:
- Select the Upload File button and add your template. The process will begin shortly.
My Team's Dashboard
There is another option while reviewing progress in My Team's Dashboard.
Selecting the wrench icon throughout My Team's Dashboard displays the settings of that item.
You can mark as complete there, as well as fill in the details and leave a comment. Your completion saves immediately, but the details you adjust need to be saved using the Save button.
Mark Lectures as Complete
When tracking progress in My Team's Dashboard, expand the details of any course to track the progress of each lecture.
Navigation: UKG Learning > Team Workspace > My Team Dashboard > Training > select person > locate course > Details
- Select the wrench icon for the lecture. The section expands.
- Select the Mark as completed button.
- (Optional) enter a Completion time.
- Select Save.
Notes:
- To mark a lecture as completed for a learner, you must be assigned a job that includes the “Complete Training” permission within the Above Unit or Unit to which the user belongs.
- If a user you are attempting to mark as complete at the course level already has an active course completion, the action cannot be performed. This may occur if a lecture was added to the course while the Maintain Progress setting was set to No, resulting in the user having an active completion with reduced progress.
- If a user you are attempting to mark as complete at the learning path level already has an active learning path completion, the action cannot be performed. This may occur if a course was added to the learning path while the Maintain Progress setting was set to No, leaving the user with an active completion but reduced progress.
When a course or learning path is manually marked as complete for a learner, the completion is permanently recorded in the learner’s training history. Currently, there is no option in the Schoox interface to reverse or remove a course completion once it has been recorded. This behavior is intended to prevent the accidental loss of important historical training records.
- When a course or Learning Path is marked as complete by an admin—either manually on a per-user basis or through bulk upload—the system recognizes it as a standard completion. As a result, the corresponding certificate is issued, and any reassignment rules tied to certificate expiration are applied accordingly.
- If you mark a course/learning path as complete with a past completion date, the certificate and the current course/learning path progress will be affected based on the Course/Learning Path settings.
As an example, if the completion date was 01/01/2016 and the course certificate expiration period was set to 12 months, the Certificate that will be issued will be automatically marked as expired. - You can later track the courses/learning paths that have been Marked as Completed for users, by using the Completed by Admin field in Report Builder. You can also use the Complete by Admin Comments field to review any comments that have been added for these users.
