Assign Credits to a Course

Sometimes, being considered proficient in a role requires a specified number of credits within a predetermined time frame. In the UKG Pro Learning solution, you are able to set up types of credits, and then create rules that determine success for those credit types.

Specifically, you can create types of credits, and associate them with a course, or a job, in a way that someone would know that a number of specific course credits should be acquired within a period of time. You can also create lifetime-credits that will not expire.

For example, “SEO Expert” could be a credit type. You can specify that a Unit manager who wants to be a SEO expert should have ten credits by the end of the year and that he can acquire them by taking courses of a specific category in your academy. To do so, you should associate each course with the relevant amount of credits and types of credits that it should have.

Create Types

First, you need to create Credit Types for your academy.

Navigation: UKG Learning > Academy Workspace > Training Admin > Training Credits > Types

  1. Select the Create New Type button.
  2. At the Type field, enter a Type for the Credit. This is the Credit's name, but it is better to use a title that reflects the profession connected to this credit type (for example, SEO Expert).
  3. Select a Period Type from the drop-drop list. There are four Period Types available:
    • Calendar year: The credits are accumulated within a Calendar Year (January 1st to December 31st)
    • Academy Join Date: Credits are accumulated during the year (12 months) beginning on the date a user is added to the academy.
    • Custom Time: Credits are accumulated within a year (12 months) beginning on the starting date. When you select this option a calendar prompts you to enter the starting date.
    • Lifetime: Credits do not expire and the user can earn them once without a period restriction. 
  4. Select the Expiration Period:
    • 6 months
    • 12 months
    • 24 months
    • 36 months
    • 48 months
  5. Decide if learners can upload external certificates to meet these requirements. Select Yes or No. Administrators can review submitted external certificates and accept or decline them for credit.
  6. Select Save.

Create Rules

Each Credit Rule you create defines the required number and type of credits for a specific group of people and the type of training these learners should take to acquire this type of Credit.

After creating the types, select Rules > Add New Rule from the same panel. 

  1. Select a Job from the drop-down list.
  2. Select a credit Type from the drop-down list. These are the Types you created in the previous section. 
  3. Select a Subject from the Categories available in your Academy. Learners who complete a course from a different category than the one you define here do not get the credits needed for this rule.
  4. Select an Above Unit from the drop-down list.
  5. Select whether these credits are required (Yes/No).
  6. Enter the number of required credits each learner needs to collect.
  7. Select Save.

Once you have created a rule, you can edit or delete it using the same page. You can recalculate the credits for employees who completed their training before setting up this rule. Select the Recalc button associated with the rule to recalculate.

Note:
The credits and completions that show up under the Credits Dashboard are only those occurring in the specified time frame.

Course Panel

You can specify the Types and Number of Credits for each course from the course panel.

Navigation: UKG LearningAcademy WorkspaceTraining Admin Manage TrainingCoursesselect courseGeneral Details

  1. Scroll down and locate the Credits section.
  2. You can connect your course with up to five Credits. Select the +Add credit button.
  3. Use the drop-down list to Select credit type.
  4. Enter a Number of Credits this course counts for.
  5. Select the Show on certificates checkbox to show the credit amount on issued certificates.
  6. Select Save Changes.

Credits Dashboard

You can track the number of completions per employee on a separate dashboard. 

Navigation: UKG Learning > Team Workspace > My Team Dashboard > Credits

Here, you can see the percentage of completions per job. Select the Details link to review each learner individually.
