Self-Enrollment Approval

You, as an Admin, Training Manager, Course-creator and/or Instructor have the option to select if you want self-enrollment to need approval.  Once the self-enrollment is approved, the user will be able to access the course material.

Navigation: UKG Learning Academy Workspace Training Admin Manage Training Courses or Learning Paths

  1. Select a course or learning path. The Manage page opens.
  2. Select Edit general info (for courses) or General details (for learning paths). A new page opens. 
  3. Locate the Self-Enrollment Approval section and select the checkbox. 
  4. Select the users who need approval to enroll.
  5. Select Save changes

Self-Enrollment Approval Process

Employees still have the option to self-enroll, but they will need the approval of an Admin, Training Manager, or Manager with the Approve Self-enrollment Requests permission enabled.

  1. When an employee selects the Enroll button, the Managers of the academy who have been given the permission "Approve self-enrollment requests" are informed that there is a new course enrollment request. 
  2. The Managers have the option to approve (or not) the enrollment requests through the Approve Enrollments page, by going to Team Workspace > Self-Paced Training > Approve Enrollments. Academy Admins and Training Managers have also the option to approve these requests.
  3. To approve or decline a request:
    1. Open the Approve Enrollments page.
    2. Select the Courses or Learning Path tab.
    3. Find the appropriate user.
    4. Select Approve or Decline.

  4. The employee receives an email notification informing them that the course enrollment has been approved or declined.

Note:
The email notifications are sent only if the Academy Admin has enabled them for the academy in Academy Workspace NotificationsAcademyCourses & learning paths:

  • New Course/Learning path enrollment request
  • Your Course/Learning path enrollment has been approved/not been approved

By default, notifications are sent to the Learner's Unit Managers, Assistant Unit Managers, Head of Aboves and Assistant Head of Aboves who hold the Approve Self-enrollment Requests permission. However, you can also configure a filtered recipient list here to target specific users based on job role and location, ensuring notifications are delivered accordingly.
