Admins can add multiple users to a specific (Above) Unit at once.
Navigation: UKG Learning > Academy Workspace > Academy Admin > Organization > Map Team Members
- Filter the list or use the search bar and select the desired (Above) Unit by name. The Select Users page opens.
- Select employees to associate to the selected (Above) Unit By person or By criteria.
By Person
- Use the search field and drop-down filters to find the person or people you want to add.
- Select the + (plus) icon next to each person to be added. They move to the Selected Users column. To remove them, select the - (minus) icon.
- (Optional) Set an Expiration Date for the association.
- Select Associate
By Criteria
You can associate a Unit/ Above Unit to one or more groups of people based on their job and location and create an automated association rule to associate future and past hires automatically.
- Select the specific job to which you want to apply this association.
- Select the desired Above Units and Units in their respective columns, filtering using the drop-down menus, if needed. The number of individuals affected will appear below.
- You can associate the Unit to this group of users one time or set up a rule that automatically associates individuals who meet these criteria.
- Select Automated Association Rule to make this association a rule for future members.
- Select Exclude existing academy members if you want this to only pertain to future members, as opposed to associating it now.
- Select Dissociate when criteria are not met anymore to automatically remove users from (Above) Units once they don't match the association criteria anymore.
- You can set an Expiration Date for this association. Then, those who are associated with the selected structure from this process are dissociated from it once the expiration date passes.
- Select the Associate Now/Set Rule button.
Note:
- The Dissociate when criteria are not met anymore setting will only work for users who have been assigned to the relevant (Above) Unit through the specific rule.
- You have also the option to associate an Above Unit/ Unit to individuals that belong to more than one group. You can create and combine multiple rules with criteria that match more than one set, by using the Add More Associated Rules option.
- To maintain accurate and up-to-date user associations, especially in complex rule hierarchies, it is strongly recommended to edit rules rather than delete them. This approach ensures that the system can continue managing associations automatically based on rule criteria.
Mapping rules are found in the Academy Workspace, under Team Member Rules.
Within each mapped above unit or unit, you can filter by rule status, rule state, last modified date, and rule owner. Then within each rule, you have the options to edit, pause/start, delete, assume ownership, and view its history.
