Map Skills

Once an administrator has set up the skills and skill groups for the Academy, skills can be mapped to Courses, Jobs, and On-the-Job Training. Once mapped, these skills can be evaluated to determine if employees are growing and meeting requirements.

Map Skills to Courses

Skills or skill groups can be associated with specific Courses. More precisely, they are associated with the exam questions of the exams within the courses. The exam questions must reflect the associated skills and the score on each question can then point to the jobs in which individuals may excel.

Map Multiple Skills to One Course

Set up which skills should be assessed through each course. This determination must then be carried to the exam questions of the exams within those courses. The skill should be connected to at least one exam question or the data analysis will be incorrect.

Navigation: UKG Learning > Academy Workspace > Development Admin > Skills > Map Skills

  1. On the top, select the Courses tab.

  2. Under Courses, you can select a course and set up which skills should be assessed through this course. This must be then carried to the actual exam questions of the exams within those courses. The skill should be connected to at least one exam question, otherwise you will end up analyzing false data.

    You can find the desired course using the search bar at the top of the page. Click on the course to see the current skills connected to it.
     

  3. Under the Mapped Skills tab, you can see all skills that are currently added. To connect new skills to courses, click on Skill Library.

  4. In the pop-up, select either individual or grouped skills from your Skills Library. Scroll down and select Map Skills.

    Note: You can filter the skills by their category, group, and type.

  5. To remove skills from the course, select the existing skills and click Unmap Skills.

Mapping Multiple Courses to a Skill

Navigation: UKG Learning > Academy Workspace > Development Admin > Skills > Manage Skills

  1. Select the eye icon to view the skill you want to connect to courses.

  2. Go to the Courses tab and select Map Courses.
    This gives you a pop-up with all courses you can connect to the skill.
  3. Select the courses you want to map, scroll down, and select Yes, map courses to connect the courses to the skill.

Important: 
When mapping skills and courses through the Skills sections in the Development Admin, the skill is connected with all the existing exam questions of the exams within the course. You can then refine the skill-exam questions connections through the Manage Exam page if needed. 

Connect Skills through the Manage Course Panel

If you wish to connect your skills to a course through the Manage Course page, or if you want to refine the skill-exam question connections, just find the relevant course and head to the Manage Course page.

You then have two options: you can either do this from the Skills page or the Exams tab. 

a) Skills

Once you reach the Manage Course page, click on the Skills tab in the Course Panel. On this page, you will be able to connect your skills to the course and check which skills are connected with this course its exams.

To connect a skill to this course just click on Add Skill, select the needed skill from the list, and click Save

Important: When connecting skills to a course through the Skills page, the skill will be connected with all the existing exam questions of the exams within the course. You can then refine the skill-exam questions connections through the Exams page if needed. 

b) Manage Exam

Once you reach the Manage Exam page, click on the Edit Questions tab and you will see all the questions that are included in this exam. Find a question you want to connect to a skill and click Edit Question

 

From this page, you are able to:

  • Connect the Question with a Skill
  • Connect the Question with a Skill that is already connected with the associated Course
  • Disconnect the Question from a Skill   

To Connect the Question with an Academy Skill, click on Add Academy Skill. The list of skills presented includes all the skills that you have added to your Academy. Select the needed skill from the list, click Close, and then click Save Question to save your changes!

Note:
Any Academy Skill that is connected to an Exam Question will automatically be connected to the associated Course as well.

To Connect the Question with a skill is already connected with the associated Course, click on Add from Course Skills. The list of skills presented includes all the skills that you have connected with this course. Select the needed skill from the list, click Close, and then click Save Question to save your changes.

To disconnect the question from a skill you can either click on the bin icon next to the skill or click on the Add from Course Skills, uncheck the skill in question and click Close. Don't forget to click Save Question to save your changes! 

View Skills 

To review which Skills are connected with which Questions, use the View Skills page.

  1. On the Manage Exam page, select View Skills. On the top of the page, you will see all the Skills connected with this Exam, regardless of the question they are connected with.
  2. For an in-depth look, select Connected Skills under a question to see which Skills are connected with this question.

Filter Courses Based on Connected Skills

After you connect your Academy's courses with skills, your academy learners can filter their course training based on the connected skill a course has.

Navigation: UKG LearningLearner Workspace > My Training > Courses

  1. Select the Skills tab
  2. Select a skill or group of skills to see all the courses connected to it.

Note:
Only Skills connected to Courses the learner has access to are displayed.

Courses Connected with Skills
 

When a course is connected with Performance Skills, the connected skills will be displayed on the Course's About page, so learners can locate them easily.

When you create a Learning Path that includes courses connected with your Academy's Performance Skills, all Skills the Learning Path courses are associated with will be displayed on the Learning Path card. This way a learner knows what kind of skills and competencies they receive by completing the Learning Path.
 

Frequently Asked Questions about Courses and Skills

Q1: Does the course need an exam to connect skills to it?
A1: No, skills can be connected to a course whether the course has an exam or not. For users to take an online assessment on a skill, an exam is needed – the skill should be connected to at least one exam question and the user needs to complete the course exam..


Q2: What if we only have a SCORM exam in our course? 
A2: SCORM exams can give online assessments if their questions are connected to skill(s).

 
Q3: Will the skills be connected to the SCORM exam? 
A3: If you connect the SCORM exam to the questions upon creation of the course, there will be a connection. If you create the SCORM exam (or any exam) and you connect the course to skills later, the skill with be connected to the exam questions. If you connect the course to a skill and add the exam after this, the skill will not be automatically connected to the exam, and you would need to connect this manually.


Q4: What happens if a course is completed by admin? 
A4: Nothing. Online assessment will be given only if the trainee is the one to complete the course exam that has connected skill(s).


General info: If a user has completed an exam that has no connected skills and skills are connected to that exam (questions) afterwards, the assessments is not retroactive. User will not get any online assessment in that case because they completed the exam before the skills got connected.

Map Skills to Jobs

Once an administrator has selected the skills/skill groups for your Academy, you are ready to associate them with specific Jobs.

Navigation: UKG Learning > Academy Workspace > Development Admin > Skills > Map Skills > Jobs

Connecting Multiple Skills to One Job

  1. Make sure you are in the Jobs tab. This gives you an overview of all available jobs.
  2. Click on a job to see all mapped skills. Select Skill Library to manually select one or more skills to connect.
  3. Once you have selected the skills, their skill level, and priority, scroll down and select Map Skills to save.

Connecting Multiple Jobs to One Skill

Navigation: UKG Learning > Academy Workspace > Development Admin > Skills > Manage Skills

  1. From the list, click on the skill you want to connect to multiple jobs and select Map Jobs.

  2. Select the jobs you want to map, scroll down, and save by selecting Yes, map jobs.

Map Skills to On-the-Job Training

Skills and Skill Groups can be associated with specific tasks in your Academy's On-the-Job Training. The tasks must reflect the associated skills and the score on each task can then point to the jobs in which individuals may excel.

Advanced On-the-Job Training Settings

The On-the-Job Training type of assessment must be set to Score as the type of assessment (UKG Learning > Academy Workspace > Training Admin > Settings > Control Panel > On-the-Job Training) if you want the assessments your learners receive from On-the-Job Training to be reflected on the skills' dashboards. 

Associating Tasks with Skills

Navigation: UKG Learning > Academy Workspace > Training Admin Manage TrainingOn-the-Job Training

  1. Locate your On-the-Job Training (OJT) in the list. Use the search and filter functions if needed. Select Edit OJT
  2. Select the Edit Tasks option from the On the Job Training panel. Here you can create more tasks for your OJT or edit the ones you have added in the past.
  3. Locate the Task and select the Associate with Skills link.

     
  4. Select the desired Skills. Your selection is saved automatically.

Evaluation Process

The evaluation process for the users who complete these tasks is usual. More specifically, the score that you give to your users as a task assessment will also be saved as a skill assessment for the connected skills.

Note that in order to get assessments for skills by On-the-Job Training, the skills will have to be associated with specific tasks. This counts even in the case that the On-the-Job Training is part of a course.

If the skills are associated with the course, but not with the On-the-Job Training tasks, then there will not be any relevant skill ratings. When the skills are associated with specific tasks, the score set by the Admin or Manager for that specific task will be saved as a rating (manual assessment) for all skills connected to the task (provided that the On the Job Training type of assessment is set to Score under the Academy Settings).

In the case of the same skill being associated with different tasks of the same On-the-Job Training, each task score is considered as a single manual assessment. An average will be calculated for the skill assessment.

Note:
The task does not need to be signed off for the skill assessment to be recorded. 

Report on Assessments

Once a user has been given a score for an OJT task connected with specific skills, the score is saved as a manual skill assessment for these skills. The assessor for these skills is the manager performing the OJT assessment. 

As these assessments are also saved as manual skills assessments, they are included in the score calculations on the Skills Dashboards

When an Administrator or the Manager who assessed the learner performs a manual assessment, they see this assessment below the connected skills, along with the assessor and the OJT it came from.

Note:
This assessment cannot be edited through the Perform Assessment page. 

Learners can find these assessments on their Personal Dashboard under the Skills. The assessment will display their manager's name along with the OJT name.
