In the new Learning experience, some administrative settings are organized differently than in the classic experience. This update improves usability and creates a more intuitive interface.
If you are looking for the External Member permission for Shared Resources, you will now manage this access through the Guest role.
Your data and permissions remain consistent across both experiences. The settings have been reorganized—not removed.
What changed?
In the classic Learning experience, you controlled access to Shared Resources by defining who could read or store them. This included granting access to External Members in Admin Panel > Your Academy > Resources. You then selected the checkbox for External Members under:
In the new experience, this setting is managed under role permissions.
How to manage guest access to shared resources
Follow these steps to update the Guest role permissions.
Navigation: UKG Learning > Academy Workspace > Academy Admin > Organization > Manage Jobs.
Open the Roles tab.
Select the Guest role.
Open the Permissions tab.
Locate Read content in Shared Content category of resources.
Update the permission as needed.
Select Save.
Managing access through the Guest role provides the same level of control previously available through the External Member setting.

Centralizes permissions under roles
Simplifies access management
Supports a more consistent and streamlined admin experience
Summary
The External Member access setting has not been removed. It is now managed through the Guest role permissions in the new Learning experience.
Your existing permissions remain intact. Only the location of the setting has changed.
