Control Optional Course Visibility for Specific Teams

You may want to offer optional training that is visible only to specific employee teams and hidden from others. For example, you may create courses for certain departments without making them available to your entire organization.

This article explains how to configure course visibility so only the intended audience can discover and self-enroll in optional courses.

Goal

Make optional courses available for self-enrollment and visible only to specific teams or employee groups. Keep them hidden from all other users.

Use category permissions to control visibility. In most cases, you do not need to set courses as Private if the category already restricts access.

Restrict visibility using category permissions

Organize your courses in a category with the correct permissions.

  1. Assign the course to the appropriate training category.

  2. Locate the category.

  3. Select Edit permissions for category.

  4. Open the permissions panel.

  5. Grant Read access only to the specific Jobs, Roles, Units, or Above Units that should see the course.

  6. Remove Read access from any groups that should not have visibility.

When permissions are configured correctly, only the selected teams will see the courses in their catalog.

Keep the course optional

To keep the training optional:

  • Do not use Assign training.

  • Do not assign the course directly to users.

Employees who have visibility can find the course in the catalog and choose to self-enroll.
