Send Manual One-Time Reminders for Incomplete Courses

If you are managing compliance or critical training, you may need to send a one-time reminder to learners who have not yet completed a course.

While automated reminders handle ongoing notifications, this article explains how to send a manual, immediate reminder to only those learners who still need to complete their training.

Scenario

You are managing an active training course. The deadline is approaching, and you want to send a single, urgent reminder email to learners who have not completed the course.

You do not want to modify or rely on automated reminders. Instead, you want to send a focused, one-time message to this specific group.

The most effective way to send a manual reminder to incomplete learners is by using the Training Announcements feature.

Training Announcements allow you to target learners based on completion status. This gives you the flexibility to send a one-off message only to users who have not completed the course.

Send a One-Time Reminder

Navigation: UKG Learning > Academy Workspace > Training Admin > Courses

  1. Open the course you want to manage.

  2. From the course panel, select Enrolled Learners.

  3. Select Training Announcements.

  4. Go to the By criteria tab.

  5. Create your message. Clearly communicate:

    • The training deadline

    • The importance of completion

    • Any compliance or business impact

  6. Locate the All Enrolled Learners dropdown field.

  7. Select Only enrolled learners that have NOT completed
    option_New Experience.pngThis step ensures that only incomplete learners receive the message.

  8. Select Send Announcement Now. The system sends the message only to learners who are enrolled and have not completed the course.
