Understand certificate and notification behavior for archived courses

When you archive a course, certificate settings and notification rules may still affect learners. Certificates follow specific rules for expiration, reassignment, and notifications. These settings continue to apply even after a course is archived unless you update them.

Understand the impact of archiving on certificates

Archiving a course removes auto-assignment rules and stops new assignments and certifications. However, if a certificate is set to expire after a specific period and reassign upon expiration, learners may continue to receive notifications.

Update certificate expiration settings

Navigation: UKG Learning > Academy Workspace > Training Admin > Manage Training > Courses > select a course > Edit general info

To stop certificate expiration and related notifications:

  1. Set the certificate expiration period to a specific value (for example, 12 months).
  2. Save the changes.
  3. Set the expiration period to 0 months.
  4. Select Recalculate Expiration.

This recalculates existing certificates so they do not expire.

Important:

If the course is archived, you must unarchive it before updating certificate settings. After saving your changes, archive the course again.

Archiving a course does not stop notifications from existing certificates. To stop notifications, update certificate expiration settings.
